There comes a time when every office needs updating. This could include replacing equipment, repainting walls, laying down new flooring and changing the general layout. All of this work can be very disruptive – you may not even be able to continue working in the office while the refurbishment is happening. It’s important that you plan for this disruption in advance so that it doesn’t negatively affect your business. Below are just some of the biggest ways you can manage the disruption of an office refurb.
Notify/prevent any potential visitors
You don’t want guests visiting your premises while you’re renovating as it may not be safe and could create the wrong impression. Consider notifying clients and other visitors in advance that your office will be closed. If you need to host any meetings, consider conducting these out of the office or via video call.
Get employees to work remotely
It’s likely that you won’t be able to work from the office during the refurb. Even if it’s just a single roof being renovated, the noise and the dust could be a distraction and possibly a hazard. Getting employees to work remotely during the renovation could prevent you having to temporarily close your business. It may not be possible to do everything remotely, but you should be able to handle most computer and phone based tasks.
Put equipment temporarily into storage
If you’re keeping certain office equipment, you need to consider where you will put this equipment throughout the refurbishment. It may not be possible to work around it if you’re installing new flooring. Looking into self storage units could be a good option. There are mini storage units that you can rent out if you’ve only got small amounts of equipment that needs to go into storage.
Consider hiring contractors who can work out of office hours
There may be some contractors who are willing to work in the evening or at the weekend. This might allow you to continue normal business operations in your office by getting contractors to work around you. Just be wary that not all contractors will be willing to work such hours – and those who may be willing to work these hours may charge more. You also need to consider whether any residential neighbors will appreciate renovation work in the evening and at the weekend.
Keep your refurb simple to reduce disruption
The more extensive the refurbishment, the longer it will take and the more difficult it will be to work around. Think about how you can simplify the project while still updating everything that needs updating. You may be able to renovate your office in two or more stages over a couple years to minimize the need for lengthy downtime. Alternatively, you may be able to look into things like prefab services for projects like extensions, which enable most of the work to be done off-site.
