Well, yeah, it’s a fair question, it’s a good question, and it’s one that absolutely needs to be answered, too! So, agency work can look so put-together from the outside, like maybe a nice portfolio, clean branding, polished posts, happy client testimonials, the whole thing. Oh, and you probably use some other agencies for help too, that’s totally normal, like an SEO agency for your SEO needs, so your team can better focus on other things.
But anyway, from the outside it all looks great, but then inside the agency, it can feel like everyone’s sprinting all day and still ending up behind. It’s called a “high pressure environment” for a reason, right? And yeah, it’s not because people aren’t working hard. It’s usually because the work is living in too many places at once, and the day becomes this constant game of, “Wait, who’s doing that,” and, “Where did that file go,” and, “Did anyone tell the client this changed,” right?
Like, does any of this sound familiar at all? Does any of this resonate at all? Well, that’s a problem here. Well, chances are there’s a structural problem here that needs to be fixed, and it probably needs to be fixed ASAP.
Too Many Tools Can Make Everything Harder
There’s a reason that this needs to be addressed first, because now more than ever, small businesses are “trying to catch them all” in terms of tools and software, a lot like Pokémon. Like weekly, a new software comes out, that’s true, but the problem is, it gets pushed heavily on businesses, especially the “AI-powered” ones. But yeah, the problem is that a lot of agencies end up with a tool stack that grows like an overstuffed junk drawer.
Like a project management tool, chat tool, doc tool, design tool, file storage, calendar tool, reporting tool, plus client tools, and then a few more because someone saw a post online and thought it sounded helpful. Does any of this ring a bell? Honestly, it’s best to try to downsize where you can, consolidate software where you can, like agency management tools, and train all team members to use the step-by-step guides of the software, so that the workflow can feel consistent for everyone, rather than being improvised.
Too Many Moving Parts Means Something Always Slips
Which basically goes perfectly with what was being said above, right here. So, agency life is basically moving parts on top of moving parts. You know all of this all too well, like the client emails, Slack messages, internal notes, feedback that changes, assets coming in late, approvals that drag, timelines that magically shrink, well, you name it, you know it’s a giant unfun mess here.
But even if everyone is talented and fast, messy systems turn good work into constant rework. People redo tasks because they can’t find the latest version. Yes, this happens way too much, all the time, and people miss context too.
Unclear Ownership Creates Confusion
And some major confusion at that! But you absolutely need to understand here that when ownership is vague, tasks don’t feel owned. Instead, they’re going to feel shared, and “shared” turns into “someone will probably do it,” and then someone doesn’t.
Basically, here, ownership doesn’t have to be intense (it can, but ideally not). Instead, it can be simple, like one person owns the client communication, one person owns the timeline, one person owns creative approvals, and one person owns final QA. And of course, that doesn’t mean nobody else helps. It just means there’s always a clear answer, which is the most important thing here anyway.
