There are several milestones to enjoy when running a business, and meeting each one often means you’re growing and adapting as time goes on. In other words, these milestones tend to be positive and happy. But sometimes, they can also be quite dizzying to consider, especially if you’ve never partaken in any activity like that before, such as an employees first business trip.
For example, hiring a first staff member can be a proud day. So can put out your first vehicle under the name of your company. Another first milestone, that advice columns rarely speak of, is how to send your first employee on a first business trip.
Not only might this be the first time that someone else is representing your brand entirely for you (outside of general work duties), but it’s an organizational and logistics planning task that really does require deft management to get right. So – how do you get it right? Well, in this post we’ll offer four tips that might get you there. Without further ado, please consider:
Manage Travel Insurance
The last thing you need to worry about is lost luggage, harm, or damage coming to one of your employees and their belongings. This is where effective travel insurance with services like Generali is so important. It not only allows you to provide the appropriate cover needed, but do so with utmost peace of mind.
Detailed Itinerary & Resources
It’s important to strike a healthy balance between tasks your employee has to keep up with, and time they can spend recharging and organizing for the next effort. Now, you won’t be planning out their entire day for them, but the tasks and appointments you set will certainly provide the structure to where they need to be. Making sure this is delivered in advance and discussed, as well as resources made available (such as transport where appropriate), will make the trip more seamless, and help your representative retain their professional candor.
Cultural Sensitivity Training
This is not always necessary, as if your employee is headed to the next state over, the customs are identical. But if they’re headed to Japan or the Arab world, or to meet Chinese clients, it may be that you undertake cultural sensitivity training. For example, in Arabic culture, it’s often considered bad form to get straight down to business without asking about one’s wellbeing and spending some time in discussion. It makes sense. Being able to balance this can help your employees understand how they should conduct themselves, which is more than what is written down on paper.
Expense Management Guidelines
Instruct your employee how to track their expenses, how and where to save receipts (documenting them through app scanning can help), and what does and doesn’t constitute an expense you’ll reimburse. It will allow you to ensure the trip can be planned correctly through appropriate bookkeeping practice, while also informing your employee what they can and can’t reasonably expect you to pay for. That in itself can clear up so much confusion, but make sure to get these terms written down and agreed to, in order to prevent possible future disagreement.
With this advice, your representative is sure to do your business proud.
